Administrative Specialist

At Colorado Springs Utilities we are committed to providing safe, reliable utility services for our citizen-owners. As the Administrative Specialist for Field Services, you will support key personnel responsible for interacting with, supporting, and making an impact on our community every day. Field Services is responsible for providing emergency response programs for gas and carbon monoxide leaks, and servicing customer gas, electric, and water meters. Your professionalism and sound decision-making skills will be leveraged while ensuring seamless team and operational support.

What you’ll be doing…

  • Maintain and update calendaring systems, coordinates scheduling, makes reservations and travel arrangements

  • Reviews and processes invoices for payment assigns account numbers, tracks expenditures, reconciles and reports on budget account balances, and authorizes expenditures

  • Assists with the coordination of budget submittals, run and distributes budget reports, and updates budget databases

  • Creates and maintains records management solutions for information, often high in volume and/or detailed, complex, or sensitive in nature making it challenging to manage

  • Advises others on administrative procedures and/or provides training and instruction

  • Tracks and supports contract processes, acts as a liaison with outside vendors

  • Assists the public with an explanation of organization policies, rules and procedures, responds to inquiries and complaints regarding CSU services, researches and directs to appropriate personnel

  • Tracks the collection and/or receipt of documents and verifies completion

  • Prepares and proofreads letters, memos, reports, and other correspondence

  • Generates reports, spreadsheets, requests for proposals, publications, presentations, and other materials considered detailed and/or complex in nature

  • May perform administrative process design and maintenance in an area of specialization or for administrative projects of moderate complexity

Who you are…

Ideally, you will offer experience in an administrative capacity supporting leaders in a fast-paced environment with rapidly shifting priorities or demonstrate the aptitude for this! You will be strong at multi-tasking, written communication, taking initiative, remaining composed under pressure, maintaining confidentiality, and communicating and sharing information effectively and appropriately. You are someone who uses critical thinking skills and creativity to effectively resolve issues and complete tasks timely.
