As an Administrative Specialist in the Colorado Springs Utilities Human Resources Department, you will be part of a team that is vital to the success of the entire organization. You will report to the Human Resources Manager, where you will be responsible for driving HR functional excellence by anticipating the needs of the department and providing exemplary administrative support. Your commitment to ensuring that invoices and contracts are well managed and that our people are supported will make you a valued asset to the department.

How you will make an impact…

  • Forecasting, budget tracking, reconciliation, and reporting

  • Purchasing, processing invoices, making vendor payments, and coordinating with Accounts Payable

  • Coordinating and overseeing HR contract activity with Procurement and Contract Services

  • Providing general administrative support such as scheduling meetings with other groups outside HR, copying, filing, organizing, developing presentations, taking meeting minutes, and preparing agendas

  • Maintaining and updating calendaring systems and coordinating the scheduling of meetings and conference rooms

  • Updating and maintaining record retention schedules and coordinating records management across the department

  • Preparing and proofreading letters, memos, reports, and other correspondence

  • Generating reports, spreadsheets, requests for proposals, presentations, and other materials considered detailed and/or complex in nature

  • Coordinating travel for employees in the department

  • Strong technical skills and learning agility with computer systems, applications, and technology, including strong Outlook, Microsoft Word, Excel, and PowerPoint skills

  • Familiarity with the Connect tool, procurement, and contracting processes

  • P-card reconciliation

  • Organization, time management, multi-tasking, and problem-solving skills

  • Enthusiastic engagement and exceptional customer service skills

  • Must thrive in a fast-paced, dynamic environment with rapidly shifting priorities

This position is based out of the Plaza of the Rockies Building in downtown Colorado Springs. Once you have successfully completed onboarding, hybrid/teleworking working arrangements are available.
